How ShipOXO collects, uses, shares, and protects your personal information when you use our freight platform.

1. Introduction

ShipOXO is a digital freight-forwarding platform operated by ShipHouse LLC (“ShipOXO,” “we,” “us,” or “our”). We help small and mid-sized businesses get instant ocean, air, and inland freight quotes, book vetted carriers, and track shipments from origin to door.

This Privacy Policy explains what personal information we collect when you visit shipoxo.com, create an account, request a quote, book a shipment, or otherwise use our websites, mobile experiences, and services (together, the “Services”), and how we use, share, and protect that information. It applies to customers, prospective customers, and visitors. By using the Services, you agree to the practices described here.

2. Information We Collect

We collect information in three ways: information you give us, information we collect automatically, and information we receive from third parties.

Information you provide

  • Account & identity. Name, email address, phone numbers, password credentials, and your preferred language and display settings, collected when you register and sign in.
  • Business & onboarding (KYC) details. Company legal name, address, country, business registration details, and verification documents you upload during onboarding so we (and our carrier and customs partners) can lawfully arrange your shipments.
  • Shipment & cargo data. Origin and destination locations, pickup and delivery addresses, ports and facilities, commodity descriptions, container and cargo dimensions, weights, Incoterms, and other booking details you enter to obtain quotes and move freight.
  • Payment information. Billing details needed to invoice and collect payment. Card and bank details are processed by our payment providers; we do not store full card numbers on our systems.
  • Communications. Messages, support requests, and any information you share when you contact us.

Information collected automatically

  • Device & usage data. IP address, browser and device type, operating system, pages viewed, referring pages, and timestamps.
  • Cookies & similar technologies. Identifiers used to keep you signed in, remember preferences, secure the Services, and measure performance. See Cookies & Tracking below.

Information from third parties

  • Authentication providers that verify your sign-in.
  • Address & mapping providers that help you complete and validate pickup and delivery addresses.
  • Payment processors, carriers, and customs partners that confirm transactions and shipment status.

3. How We Use Your Information

We use personal information to:

  • Provide the Services — generate quotes, book carriers, arrange transport and customs, and track shipments end to end.
  • Create and secure your account, verify your business, and prevent fraud, abuse, and unauthorized access.
  • Process payments, issue invoices, and maintain financial and transaction records.
  • Communicate with you about quotes, bookings, shipment milestones, service updates, and support requests.
  • Improve and develop the Services, including analytics, troubleshooting, and product research.
  • Send marketing and promotional messages where permitted — you can opt out at any time.
  • Comply with legal, tax, trade-compliance, sanctions-screening, and regulatory obligations.

Where required by law, we rely on a lawful basis to process your information — typically performance of our contract with you, your consent, our legitimate business interests, or compliance with a legal obligation.

4. How We Share Information

We do not sell your personal information. We share it only as needed to run the Services and as described below:

  • Carriers, forwarders, and customs agents involved in quoting, transporting, and clearing your shipments. Moving freight inherently requires sharing shipment and party details with these partners.
  • Service providers that operate the platform on our behalf — cloud hosting and databases, authentication, email delivery, address and mapping, analytics, and payment processing — under contracts that limit their use of your information.
  • Payment processors to charge and reconcile payments.
  • Legal & safety — authorities, regulators, or other parties when required by law, to enforce our terms, or to protect the rights, safety, and property of ShipOXO, our users, or the public.
  • Corporate transactions — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
  • With your consent — for any other purpose you approve.

5. Cookies & Tracking

We and our providers use cookies and similar technologies to keep you signed in, remember your preferences, secure the Services, and understand how the platform is used. Some cookies are strictly necessary for the Services to function; others support analytics and marketing.

You can control cookies through your browser settings and, where offered, our in-product preferences. Blocking some cookies may affect how the Services work for you.

6. Data Retention

We keep personal information for as long as your account is active and as needed to provide the Services. We also retain certain records longer where required to meet legal, tax, accounting, trade-compliance, and dispute-resolution obligations — shipping and customs records in particular are often subject to multi-year retention requirements. When information is no longer needed, we delete or anonymize it.

7. Your Rights & Choices

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. You can also opt out of marketing emails using the unsubscribe link in any message.

European Economic Area & UK (GDPR). You have the rights described above and may lodge a complaint with your local data protection authority.

California (CCPA/CPRA). You may request disclosure of the categories and specific pieces of personal information we collect, request deletion or correction, and opt out of any “sale” or “sharing” of personal information. We do not sell your personal information. We will not discriminate against you for exercising these rights.

8. International Data Transfers

ShipOXO operates globally and arranges shipments across borders. Your information may be processed in countries other than where you live, including the United States, whose data-protection laws may differ from yours. Where required, we use appropriate safeguards — such as standard contractual clauses — to protect information transferred internationally.

9. Security

We use technical and organizational measures — including encryption in transit, access controls, and restricted handling of verification documents — designed to protect your information. 10. Children's Privacy

The Services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you. Your continued use of the Services after an update means you accept the revised Policy.
